We make security a top priority.

Simplifile has multiple data centers, redundant equipment, and storage backups securely in place to protect your documents and data.

We’ve always been proactive in ensuring you never have to worry about the security of your documents, information, and recordings as a Simplifile customer. To prepare for disaster recovery, we have three different data locations here in the U.S. We also utilize redundant equipment including firewalls, database servers, load balancers, and server clusters. Our information technology team applies SSL encryption, intrusion detection systems, log monitoring, and more to maintain the security of all customer, employee, and company data and information.

Communications and Data Access

All communications to and from Simplifile systems are encrypted based on current security best practices. For example, we employ SSL encrypted transactions as well as VPN-encrypted and SSH tunnels for remote access and beyond. Submitter and county users must be authorized by submitter and county representatives respectively. All authentications to network devices and switches use proper encryption. Simplifile transmissions occur over the Internet using the Secure Socket Layer (SSL) protocol and 128-bit encryption.

Physical Security

Physical access to Simplifile’s datacenters and servers is limited to a small set of people who are responsible to maintain those physical systems. No other employees have physical access to the production server, switches, firewalls, or other network or server devices.

Data Rooms and Networks

All data rooms, either owned by Simplifile or used by Simplifile, allow for us to use redundant firewalls with redundant links. Simplifile firewalls are configured according to current industry best practices. Access to Simplifile network devices is limited to a small set of people for the purpose of keeping the systems up and auditing. All infrastructure devices and computers to be added or connected to the Simplifile networks must have formal approval before connecting. When available and practical, Simplifile uses redundancy in the switching infrastructure to maintain uptime.

Monitoring Security

An intrusion detection system is deployed at each location to monitor network traffic for issues, this is set up to notify Simplifile security personnel of issues and is reviewed daily by the security team. Security logs and system logs are also collected centrally and monitored in a similar manner.

Audit and Security Penetration Testing

All components of Simplifile’s security policy are audited for completeness and relevance twice a year. This includes, but is not limited to, security penetration testing by either internal or third-parties. Following this activity, the policy is reviewed, next steps are determined, and appropriate action is taken.
